> How to redact a bank statement before upload with free tools: what to hide, what a converter still needs, and why a black box is not enough.
To redact a bank statement before upload, remove the text you do not need converted, such as your address and full account number, with a tool that deletes it rather than covers it. Free options include Preview on a Mac and LibreOffice Draw. Keep dates, descriptions, amounts and balances, then test the saved copy before you upload it.

## Which bank statement fields can you redact before upload?

You can redact any bank statement field that will not appear as a column in your spreadsheet. A converter turns transaction lines into rows, so it needs the date, the description, the amount and, ideally, the running balance. Your street address, the full account number and the phone number printed for customer service play no part in the output.

The table below sorts the usual fields. The example values are invented to show the shape of a statement, not taken from a real one.

| Field | Example value | Hide or keep | Why |
| --- | --- | --- | --- |
| Name | Jordan Example | Optional | Not a column in the output; some readers need it to label the file |
| Street address | 12 Sample Lane | Hide | Never used in the rows |
| Account number | ending 0000, plus a full number in a footer | Hide | The output does not need it |
| Statement period | 1 to 30 September | Keep | Lets the converter assign the year to each date |
| Opening and closing balance | 1,250.00 and 980.40 | Keep | Used to check that no line was missed |
| Transaction date | 14 Sep | Keep | Becomes the date column |
| Description | GROCERY STORE 0412 | Keep, with care | Becomes the description column |
| Amount and balance | 42.18 and 1,207.82 | Keep | The numbers you want in Excel |

### The description column is the hard case

Descriptions carry the most personal detail on the page. A transfer line may show a friend's full name. A payroll line names your employer. A clinic payment hints at a medical visit. You can redact a few of these lines, but each one you black out becomes a row with a blank or broken description. If you need the totals more than the merchant names, that trade is fine. If you plan to categorize spending, keep the descriptions and redact elsewhere.

### Statement period and balances

The statement period and the balances look like private details, but they are the converter's safety checks. Without the period, a statement that prints dates as day and month leaves the year to a guess. Without the opening and closing balance, nobody can confirm the rows add up. Leave both visible.

### Pages you can drop instead of redacting

Many statements end with pages of legal notices, rate tables or check images. Deleting those pages from the copy is quicker than redacting them, and it removes anything printed there. The first page and every page with transaction lines must stay. If you only need yearly totals for a card, [converting an annual credit card summary to Excel](/blog/annual-credit-card-summary-to-excel) may mean one short document to redact instead of twelve.

## Free redaction tools for a bank statement PDF

The free redaction tools worth using are the ones that remove text from the saved file, not ones that only draw over it. On a Mac, Preview has a Redaction Selection tool. On Windows or Linux, LibreOffice has a Redact command that works through its Draw program. Both cost nothing if you already have the software.

### Preview on a Mac

Apple's [Preview user guide](https://support.apple.com/en-in/guide/preview/prvw11580/mac) describes Redaction Selection as a way to select text and remove it from view, and says the redaction becomes permanent once you close the document. Because of that, work on a duplicate. Open the copy, choose the tool from the markup controls, drag across the address and account number, then close the file to lock the change in.

### LibreOffice on Windows, Mac or Linux

The [LibreOffice redaction help page](https://help.libreoffice.org/latest/en-US/text/shared/guide/redaction.html) explains that Tools > Redact exports the document to Draw, where you mark areas with rectangle or freeform redaction shapes. Those shapes are grey and see-through while you work. The final step, Redacted Export, turns them into opaque blocks and writes them into the PDF as pixels. The next section walks through it.

### Tools to avoid for this job

An annotation tool that lets you draw a filled rectangle is not a redaction tool, even if the result looks the same. Neither is a highlighter set to black. Be just as wary of a cracked "full version" of a paid PDF editor offered for free, which can carry more risk than the statement it is meant to protect. [The risks of a full version PDF to Excel converter download](/blog/pdf-to-excel-converter-full-version-risks) covers what those downloads tend to bring with them.

## Redacting a statement header in LibreOffice Draw, step by step

LibreOffice Draw redaction takes about five minutes for a one-page header. You make a copy of the PDF, open it, mark the address and account number with redaction shapes, and export a black redacted version. The original stays untouched, so a mistake costs nothing but a second try.

Follow these steps. The file names are examples.

1. Copy `september-statement.pdf` to `september-statement-redacted.pdf` and work only on the copy.
2. Open the copy in LibreOffice. A PDF opens in Draw by default.
3. Choose Tools > Redact. LibreOffice prepares a drawing for redaction and shows the redaction toolbar.
4. Pick the Rectangle Redaction tool and drag across your street address. A grey, see-through box appears.
5. Do the same for every place the full account number appears. Check the footer and the last page, where some banks repeat it.
6. Scroll through each page and mark anything else you decided to hide, such as a transfer line with a family member's name.
7. Choose Redacted Export (Black) from the redaction toolbar and save the result under a new name.
8. Close everything, then open the exported file fresh and run the checks in the last section of this post.

### What to mark on a typical first page

On a typical first page, the address block sits top left, the account number sits top right or in a summary box, and a barcode or reference string may run along the bottom edge. That reference string can encode the account, so mark it too. Leave the statement period and the balance summary clear.

## Why is a drawn shape on a statement PDF not a redaction?

A drawn shape is a separate layer placed over the statement text, and the text beneath it is still in the file. A converter reads the text layer, not the picture you see on screen, so it pulls out the hidden account number as if the shape were not there. Real redaction deletes the characters themselves.

The published guide on upload safety explains the copy test for this in its section on [whether redacting a bank statement before uploading works](/blog/is-it-safe-to-upload-bank-statements-online#redacting-a-bank-statement-before-uploading-does-it-work). Rather than repeat it, here are the less obvious places a shape-only redaction leaks.

### Search, copy and accessibility readers

The search box in a PDF viewer finds words under a shape. Copy and paste brings them back as plain characters. Screen readers, built for people who cannot see the page, read them aloud. Each of these does what a converter does: it ignores the drawing and reads the text.

### File properties and attachments

A PDF can also hold a title, an author field and even attached files, none of which appear on the page. Your bank may set the title to something that includes the account number. A redaction tool that only changes the page leaves those properties alone. If you are going to email the redacted copy as well, [whether it is safe to email bank statements](/blog/is-it-safe-to-email-bank-statements) covers the extra copies that sending creates.

## Redaction edge case: a statement exported as pictures

Some redaction exports turn whole pages into images, which removes every word from the text layer, not just the redacted ones. That is very private, but a text-based converter then sees blank pages. If the redacted file has no selectable text anywhere, the converter needs optical character recognition to read it, and the result will be less accurate.

### How to tell what you have

Open the redacted file and try to select a transaction amount well away from any redaction box. If the cursor highlights the digits, the page still has text and a converter can read it. If the cursor draws a rectangle over an image instead, the page became a picture.

### What to do if the page is now a picture

You have three choices. Use a tool that removes text without flattening the page, such as Preview on a Mac. Redact less, and accept that the address stays in the file. Or keep the picture version for sending to people and convert the original on your own machine, so the private copy never leaves it.

### When not to redact at all

If the only person who will see the file is you, on your own computer, redaction adds work and no protection. The same goes for a bank-issued transaction export, which usually leaves out the address block entirely. Redaction earns its time when a third party receives the file.

## Checking a redacted bank statement before it goes up

Check a redacted bank statement in the exact file you will upload, after closing and reopening it. Confirm the hidden fields are gone from search and copy, confirm the transaction text is still readable, and look at the file properties. A redaction that passes on screen but fails these checks protects nothing.

Run this checklist on the saved copy:

- [ ] Search the file for your house number and street name. No match.
- [ ] Search for the last four digits of the account. No match, or only the masked form you chose to keep.
- [ ] Select and copy a redacted area, then paste it into a plain text editor. Nothing readable appears.
- [ ] Select a transaction amount in an unredacted row. It highlights as text.
- [ ] Open the document properties. The title and author fields do not contain your name or account number.
- [ ] Count the pages. Every page with transaction lines is still there.

### Upload the copy, keep the original

Upload only the redacted copy and store the original where it was. The original is the one to keep for your records, because a lender or tax preparer may ask for an unaltered statement. If you have not yet chosen where to upload, run the five checks in [whether it is safe to upload bank statements online](/blog/is-it-safe-to-upload-bank-statements-online) first, since a redacted file still lists every purchase you made.

[CheapBankConvert](/get-started) shows your first two pages as rows before you pay, which is a quick way to see whether a redacted copy still converts cleanly. It is in early access, so check the homepage for when uploads open.
