Envelope Budgeting Spreadsheet Without Cash Envelopes

By CheapBankConvertPublished October 17, 2026

An envelope budgeting spreadsheet replaces paper envelopes with columns. Each column is one envelope, such as groceries or fuel. On payday you add a refill row that puts money in each column, and every card purchase from your statement is a withdrawal row in the matching column. When a column's balance hits zero, that envelope is empty.

What replaces the cash in an envelope budgeting spreadsheet?

A running balance replaces the cash. In the paper method you can see how many notes are left in the grocery envelope. In the sheet, each envelope column ends with a balance that rises when you refill it and falls with each purchase. The number on screen does the job the thin envelope used to do.

The money itself stays in your checking account the whole time. The envelopes are a way of labelling that one balance, so you know which part of it is already promised to groceries and which part is free for a night out. If every envelope balance is added up, the total should be close to what your checking account holds, less any money you have not yet assigned.

That last point is a useful check. If the envelopes add up to more than the bank balance, you have assigned money you do not have, usually because a purchase is missing from the sheet.

Laying out envelope columns, refills and withdrawals

The layout is one row per event and one column per envelope. Columns A to C hold the date, the description and the event type, either Refill or Spend. Columns D onward are the envelopes. A purchase goes in as a negative number under its envelope, and a refill puts a positive amount under each envelope at once.

Below the last row, each envelope column gets a total: =SUM(D2:D200) under the groceries column, and the same pattern under the others. That total is the envelope balance. Put the totals at the top instead, in row 1 above the headings, if you would rather not scroll down to see them.

Keep the envelope list short. Envelopes suit the spending you can choose to cut: groceries, eating out, fuel, household, fun money. Fixed bills such as rent or a phone contract do not need an envelope, because the amount is the same each month and leaves on a known date. Set that money aside once and leave it out of the daily sheet.

Statement rows as envelope withdrawals: a worked month

A worked month shows how card spending feeds the sheet. Here, four envelopes are refilled on the first payday, and the purchases come straight from the bank statement. All amounts below are example values, not a recommended budget.

Date Description Type Groceries Eating out Fuel Fun
Oct 1 Payday refill Refill 500.00 120.00 160.00 80.00
Oct 3 ALDI 112 Spend -63.20
Oct 4 SHELL OIL 5741 Spend -48.10
Oct 9 THAI GARDEN Spend -36.50
Oct 12 KROGER #0388 Spend -91.44
Oct 14 CINEMA 8 Spend -28.00
Oct 15 Balance 345.36 83.50 111.90 52.00

By the middle of the month, the groceries envelope has 345.36 left, and fun money has 52.00. Each number tells you what you can still spend without touching another envelope.

Typing every row by hand works for a few purchases a week. For a whole month, start from the statement as a file instead. Many banks let you download recent activity as a CSV. When you only have a PDF statement, PDF to CSV converter software and what it costs to own compares the desktop route, and CheapBankConvert, once it opens, will convert one statement for a one-time price with no subscription. Paste the rows, add the envelope amount in the right column, and the balances update.

Is an envelope spreadsheet cheaper than an envelope app?

A spreadsheet is cheaper in money, because Excel for the web and Google Sheets cost nothing to use. Envelope apps usually charge a yearly or monthly fee for the same method, in return for linking your bank and sorting purchases into envelopes for you. You trade a few minutes of pasting each week for that fee.

What budgeting apps cost each year puts real prices next to each other, so you can see the yearly amount before a trial ends. The money is only part of the choice. Some people keep a budget only when an app nags them, and for them the fee may be worth it. A budget spreadsheet against a budgeting app weighs the time, privacy and habit side of that decision, apart from the price.

When an empty envelope tempts you to borrow from another

An empty envelope mid-month is the moment the method is meant to create. You have two honest moves: stop spending in that category until the next refill, or move money from another envelope on purpose and write that move down. The mistake is spending anyway and letting the column go negative without a decision.

In the sheet, a move is one row with the Type set to Move: a negative amount under the envelope that gives and the same positive amount under the one that receives. The overall total does not change, and the row leaves a record. After a few months those Move rows show you which envelopes are set too low.

A negative balance that nobody chose means a purchase landed in the sheet after the money was gone. Use conditional formatting to colour any envelope total below zero red, so it is hard to miss. If the same envelope turns red every month, raise its refill and lower another one, rather than borrowing again and again.
